Good project management requires good time management. It is therefore necessary to learn to be better organized at work in order to be productive in carrying out daily tasks. This is essential in achieving business goals.

A few tips for managing daily priorities and setting up an effective organization.

Organize your workspace

Above all, the office, the space in which the manager or the collaborator works must be organized. It should be suitable for work, tidy, or arranged in a way that suits the person's needs.

The best thing is not to be overwhelmed by stacks of files or multitude of papers on the desk in order to leave enough room for the worker to position himself well and make himself comfortable.

Optimize and better manage your time

It is important to segment your time to optimize the way you work, stay productive and not burn out. For this, making a schedule is central. This can be done using an agenda, lists or post-it notes to be left visible on your workspace.

In order to better organize your time and stay productive, implementing methods can be useful.

La Pomodoro method is a good way to segment your working time while maintaining productivity. It consists of working for twenty-five minute time slots. During this working time, distractions are forbidden.

If a distraction comes to the worker's mind, he notes it down. After twenty-five minutes, he takes a five-minute break. These breaks must be repeated four times before taking a longer break. During this, the noted distractions can then be carried out.

This allows you to stay focused and to force yourself to be effective over a short period of time with the sole objective of moving forward.

Make a to-do list

A to-do list is essential in organizing your day. If several projects are managed at the same time or during a large long-term project, the task list is very useful.

It makes it possible to distribute the work over time and not to disperse. In this list, priority tasks should be identified.

For important tasks, do not hesitate to break them up into small tasks.

Boost productivity with Pareto's law

The Pareto principle consists in thinking that 80% of the results obtained come from 20% of the actions performed.

This can be applied as part of the prioritization of tasks. It should therefore be assumed that 20% of the tasks performed on a list will lead to 80% of the results obtained.

By thinking in this way, you can then prioritize your tasks to select only the most effective and important ones and remove the useless ones.

Task management with the Eisenhower method

La Eisenhower method, or time management matrix, consists of classifying the tasks to be carried out according to two criteria: urgency and importance. Based on this principle, the things to be done are then divided into four categories:

those that are priority to be carried out immediately, those that are not urgent, but important to plan, those that are not essential but imperative that must be delegated to your teams and those that are useless to abandon.

It is therefore a question of prioritizing its missions in order to increase its productivity. Priority tasks are those that must be done imperatively, that will have consequences or that have a short deadline. The tasks to be planned are the things that are important in the long term, and therefore not urgent.

The tasks to be delegated are urgent but do not mobilize the skills of the worker, so they can be assigned to other members of the team. The tasks to be abandoned are those that are left over, of lesser importance and not very urgent.
